Our client, a well-established legal practice is seeking an experienced Legal Secretary (Local Government) to join their Litigation Department. This role requires someone who can manage confidential information, handle complex administrative responsibilities, and ensure seamless coordination for partners, attorneys, and clients.

WHAT YOU WILL DO

πŸ”Ή Manage Partner and Professional diaries, schedule meetings, and prepare all related documentation
πŸ”Ή Coordinate travel arrangements and ensure seamless logistical planning
πŸ”Ή File, organise, and maintain legal documents, case files, and law libraries
πŸ”Ή Open and close legal files according to firm policies and compliance requirements
πŸ”Ή Assist with legal administration and the preparation and processing of legal documents
πŸ”Ή Print, prepare, and file all correspondence, pleadings, and hard-copy documentation
πŸ”Ή Ensure accuracy and quality of all documents dispatched
πŸ”Ή Liaise with the messenger/driver regarding deliveries and collections
πŸ”Ή Perform general office administration and maintain smooth office operations
πŸ”Ή Complete dictation typing accurately and efficiently
πŸ”Ή Apply knowledge and understanding of employment law in daily tasks
πŸ”Ή Follow up with clients regarding payments and keep a detailed communication log
πŸ”Ή Compile and submit weekly reports on outstanding payments
πŸ”Ή Ensure full compliance with FICA requirements
πŸ”Ή Capture time on CMS/Adarant and keep attorney time records updated
πŸ”Ή Assist with monthly invoicing in line with firm policies


WHAT WE ARE LOOKING FOR

βœ… Grade 12 (Matric)
βœ… Paralegal or Legal Secretarial qualification
βœ… 3–5 years’ experience as a Legal Secretary within a law firm
βœ… Proficiency in CMS / Adarant
βœ… Strong Microsoft Office skills
βœ… Knowledge of Billback and basic numeracy
βœ… Solid understanding of administrative procedures and FICA requirements
βœ… Excellent verbal and written communication skills
βœ… Ability to work accurately, quickly, and under pressure
βœ… Strong planning, organisation, and initiative
βœ… Team-oriented with a focus on service delivery
βœ… Honest, reliable, punctual, and professional
βœ… Willingness to work after hours when necessary
βœ… Own reliable transport
